ROLE DESCRIPTION – Membership Secretary

ROLE PURPOSE - To provide administrative support and communication links especially to new members.

DUTIES & RESPONSIBILITIES

1. New member applications

a. Monitor website activity for new member applications or enquiries.

b. Acknowledge receipt of application with standard email.

c. Advice committee member on meet and greet of potential new member.

d. Present any new membership applications to committee meetings.

e. Advise new members of successful application, email and retain membership documentation as necessary.

f. Maintain close contact with new members to help integration.

2. Monitor subscription payments.

a. Following AGM notify membership that subscription payment is due.

b. Maintain a record of membership subscriptions paid.

c. Publish members list with unpaid subscriptions at the end of July to chase.

d. Publish members list with unpaid subscription at the end of September to chase.

e. Unpaid subscription on 1st October, remove members name from list.

GENERAL - Committee members should be available to attend the majority of the monthly committee meetings which are normally held 1930 on the last Tuesday of any month (except December) as well as being generally supportive of club events. Additionally, in turn each committee member acts as a “Meeter Greeter” at a first Tuesday social.

General IT literacy is assumed although training will be given if you are required to update the area of the website assigned to your role.

An interest in and/or enthusiasm for sailing is an advantage.

It is expected that all committee members will become directors of HOEOCA limited which is a Company Limited by Guarantee.
